Success Story: TheraOffice Helps Rehab Associates of Central Virginia Open More Locations

By Ada Gudex, Senior Director and GM, TheraOffice

There are several factors to consider when trying to manage a successful, large physical therapy practice. One major consideration includes choosing technology to effectively manage the business and clinical aspects of the practice. With that said, EMR software is becoming more and more common in rehabilitation settings, leading more organizations toward honing their list of potential systems down to the top physical therapy EHR systems on the market.

About 12 years ago, Josh Bailey, PT, DPT, President & CEO of Rehab Associates of Central Virginia (RACVA), was looking for a new solution to help streamline workflows for both non-clinical staff members and providers. While searching for a physical therapy EMR software, Josh performed his due diligence and reviewed several platforms that were on the market.

“During due diligence, TheraOffice had the greatest customer service intent and also had a very adaptable clinical workflow. This made it a great choice for us. Additionally, the scalability of TheraOffice was key. Customization options are a critical feature of any EMR and TheraOffice allows us to modify the system to simultaneously meet our patients’ and providers’ needs. Lastly, I have seen their interface options grow tremendously. TheraOffice sees the need to integrate systems and understands how it saves time and money. That is what a real partner can and should do for you.”

Josh and his team have found great success since implementing TheraOffice in RACVA. In 2010, he had nine total clinics and today is successfully managing 16 locations. Furthermore, Josh and his staff have provided over one million treatments to patients since their start date with TheraOffice. Yes, one million visits!

“When we transitioned to TheraOffice, our charge per visit increased. The workflow was easy and concise, but it really pushed our team to completely record their time. We found areas that we were inadvertently giving away care.”

This realization was huge for Josh and RACVA’s bottom line. Without utilizing TheraOffice’s user -friendly system and being able to run insightful reports, Josh may have not identified this issue as soon as he did. Ultimately, it was a massive find that has allowed his team to get paid for the work that they do, receiving more profit per patient without necessarily increasing the overall cost of care, simply by documenting processes which were more difficult to document without the assistance of the top physical therapy EHR.

Lastly, one thing that has remained at the center of Josh’s TheraOffice experience, which has also contributed to his success, is the outstanding customer support that he and his team constantly receive. Josh is confident that when he reaches out to the support team, he will get a kind, knowledgeable representative who can assist him with whatever he needs.

“Every week over the last 10 years we have met with a key person within TheraOffice. We problem solve together, work on varying types of integrations and focus on ways that we could give the clinician time back in their day. It has been a great working relationship as it is built on trust.”

Thanks to Josh being a part of the TheraOffice family for so long, he has seen the company and the team grow over the years. Although the software looks different and the account representatives that he works with have shifted, he still believes that the service has continued to get better and better with it being the best it has ever been today! TheraOffice’s acquisition by Netsmart has furthered this evolution of service, and by integrating TheraOffice with the CareFabric platform, this evolution stands to help more providers in more fields than ever previously possible.
