Fall 2022 TheraOffice Update Release Notes

By leveraging Netsmart's extensive technology ecosystem, TheraOffice users can look forward to an expanded suite of features that will streamline workflows, improve data interoperability, and facilitate a more holistic approach to patient health management. Additionally, the support network and technological expertise of Netsmart promise to elevate the quality of service and support available to our clients. 

 

As part of this dedication to TheraOffice’s users, we’ve brought over content that may pertain to updates to TheraOffice’s functionality. This post on the TheraOffice update for Fall 2022 may help to shed light on the capabilities of the platform.

TheraOffice Feature Additions & Changes:

Patient and Physician Importer Tool**

  • A new Patient and Physician Importer Tool has been added in Administrator that allows clinics to import a list of patients and/or physicians from a saved .XLSX, .XLS, or .TXT file

New Functional Tests Added

  • The following Functional Tests have been added and can now be completed within iOS FunctionVIBE, UWP FunctionVIBE, or Patient Portal: Dynamic Gait Index, HOOS Hip Survey, KOOS Knee Survey, NIH-CPSI, PFDI-20, PFIQ-7, PHQ-9, Quick Dash, R-SRAFVP, SRAFVP, FIST

View Functional Test Results Within TheraOffice**

  • Results of Functional Tests completed in iOS FunctionVIBE, UWP FunctionVIBE, or Patient Portal can now be viewed within TheraOffice in the patient case. When opened, the user can see each test question with the corresponding answer, along with the test score.

Hide Functional Reporting and MIPS Charges Grids

  • In the Charges section of the Document Editor, the grids for Functional Reporting Charges and MIPS Charges will now be collapsed by default. If charges linked to either grid are added, the grids will automatically expand in order to view the CPT codes.

Plan of Care Tracker

  • A new Plan of Care Tracker has been added to the Home Ribbon under Documentation. This tab lists all Full Initial Evaluation, Full Progress Note, and Plan of Care type Document Reminders that have completed reports requiring a physician signature.  The list can be filtered by Facility and/or Provider, and gives visibility to the user on when the report was sent to the physician, the method it was sent, and days since the report was sent.  The Plan of Care Tracker also includes functionality to refax the report to the physician right from the tab.  When a signed Plan of Care is received via electronic fax in the Inbound Queue, the user can now link the fax to an outstanding Document Reminder from the Fax Assistant.  When this is done, the Document Reminder will automatically check Signature Received and populate the Image Note With Signature drop down.

Batch Check Condition for Requires Precertification

  • A new Batch Check Condition has been added to check if the Insurance requires Precertification. In the Verification of Benefits screen, if the Requires Precertification field is set to Yes and there is no active Authorization in the case, a message will be displayed in the Batch Check Results.

Ability to Search Active and Inactive Patients by Default

  • A new Application Option in Administrator under Patient & Case has been added that will default the Active Patients Only checkbox unchecked in the Open Patient and Find Patient tabs. This allows both tabs to display both Active & Inactive patients by default in each screen.

Larger Font Within TheraOffice

  • The overall font in TheraOffice has now been increased from 8.25 to 9.0. This gives better visibility throughout the software.

Time Zone Added to Facility Information

  • In the Facilities tab within Administrator, a new drop down for Time Zone has been added to the Facility Information screen. This allows clinics with offices in different time zones to set each accordingly.

Enable/Disable Assistant Minutes Validation

  • In the previous version of TheraOffice, if no Assistant Minutes were set in the Treatments section of a note, and the Rendering Provider type was set to Assistant, TheraOffice would stop the note from being locked. Likewise, if no Provider Minutes were set in the Treatments section of a note, and the Rendering Provider type was set to Provider, TheraOffice would stop the note from being locked.  A new Application Option in Administrator under Documentation has been added to either enable or disable this functionality.

Enable/Disable Auto Selection of Facility in the New Document Window

  • A new Application Option in Administrator under Documentation has been added to either enable or disable the Facility to be auto selected in the New Document window. If the Application Option is enabled, the Facility drop down in the New Document window will default blank, requiring the provider to choose the Facility.

Mask SSN

  • In Patient Information, the SSN field now has the functionality to be masked. When the mask button is toggled on, the SSN will not be displayed; when toggled off, the SSN will be displayed.

PhysioTec Integration

  • A new integration to PhysioTec allows clinics to add patients from TheraOffice directly into PhysioTec. When the PhysioTec Program button is clicked in the treatment section, it will open the patient’s profile on the PhysioTec website.

59 Modifier Automation

  • An application option was added and if enabled, the 59 modifiers will automatically be added to codes based on what is setup in the CPT Check Group linked to each payer. If Medicare makes CCI Edit changes, but commercial payers do not immediately adopt those changes, this allows users to have more control over which codes may or may not require the 59 modifier anymore.
