myAvatar Document Imaging
and Archiving for Electronic Health Records
Enhance your electronic health records implementation with integrated information and document management across the entire spectrum of care
From the moment a consumer visits a service provider for the first time, a substantive paper trail is created. myAvatar Document Imaging and Archiving integrates across business and clinical functions and internal and external systems to facilitate the electronic collection, transformation, management, delivery, storage and ongoing access to information. This information can include images, insurance forms, orders, lab results, referrals and releases, system-created legal documents, and other information vital to electronic health records.
myAvatar Document Imaging and Archiving’s capabilities apply to the complete spectrum of consumer care, including intake and original assessment, scheduling and registration, through evaluation and treatment planning, to chart review, billing and ongoing care.
When combined with myAvatar Clinician Workstation (CWS), myAvatar Imaging and Archiving creates an enterprise-wide, multi-facility, longitudinal electronic health record (EHR) that spans both role and location. This assures that key clinical information can be shared internally in an effective, efficient manner -- a key element of
Connected Care.

Scan and Capture
myAvatar Document Imaging and Archiving offers three options for collecting, transforming and delivering external documents and images into myAvatar — POS Scanning, Batch Scanning and API Interface.
Point-of-Service Scanning
This option provides high-resolution, point-of-service scanning and indexing that enables staff to quickly and easily scan, capture and organize consumer information such as driver’s licenses, insurance cards, consent forms, privacy notifications, referral forms from parallel clinical services, and other standards of electronic health records.
Batch Scanning
The myAvatar solution leverages Ascent Capture from Kofax as the information capture engine. This works in conjunction with the document scanner to scan and determine the form type and consumer ID for a given document. Ascent Capture then passes this information on for validation against the myAvatar database, and finally it is released into myAvatar CWS and assigned to the correct consumer, all without requiring staff intervention.
API Interface
myAvatar Document Imaging and Archiving also provides an open application programming interface (API) for organizations to push images, patient ID, episode, form type and other information into the myAvatar imaging application from an external data source or repository.
Document Archiving
The three main motivating factors for archiving are compliance, risk management, and competitive advantage. With myAvatar Document Imaging and Archiving, organizations can store data on any device that presents itself to the Avatar system as an available storage device. Images are stored in the system or on external media.
