Avatar Addiction Management serves the full spectrum of methadone management providers, from storefronts to clinic networks.

Overview
Avatar AM (Addiction Management) is the fourth generation of Netsmart’s information systems designed to serve the clinical needs of methadone providers. Avatar AM can be implemented as a medication management module to Netsmart’s Avatar PM (Practice Management) suite of human services software solutions or as a stand-alone system offering a comprehensive approach to outpatient substance abuse management.

Avatar AM provides efficient tools for performing such time-consuming tasks as Inventory Management, Client Enrollment and Tracking, Medication Orders and Dispensing, Care Plan Activity, Counseling with basic Treatment Plans and Progress
Notes, and Self-Pay Billing and Accounts Receivable.

Avatar AM can also serve as the gateway to Netsmart’s CWS (Clinician Work Station), an award-winning module for practitioners offering full-featured management of caseloads, with Internet connectivity for Treatment Planning, Care Plans, etc.

Central Database Capabilities
By taking advantage of the latest in relational database and SQL reporting technologies, Avatar AM can be successfully implemented in any size facility. Additional functionality offered by this system is the capability of implementing a central database model, providing an efficient means of managing and maintaining multi-site facilities from a single location within an organization. Both client compliance and staff performance can be monitored and managed from a central site, from either a clinical or administrative perspective.

Standards With Flexibility
Designed around the national model for substance abuse treatment and based on Netsmart’s three decades of experience serving the human services field, Avatar AM delivers maximum flexibility for individual facilities in system configuration, along with appropriate safeguards and HIPAA compliance. Security is based on clinical workgroups and their job descriptions, allowing a tailoring of the menus and user capabilities, depending on the user’s defined role in the system.

All staff interaction with the AM
system is recorded as to both time and date, providing a best practice approach to client care. Accreditation issues from security and consistent client records management to disaster recovery can be addressed with the Avatar AM system.

Client flow through the facility is managed from the Front Desk through to the Dispensing window, as each is identified at every step along the way with optional biometric or bar code scanners, as well as on-screen digital photos. Care plan activities and toxicology screens can be scheduled, recorded, and results posted, along with appropriate charges for services performed, in a controlled way, with records accessible at all times.

Clients are enrolled into programs and episodes of care from which the practitioners can direct treatment and communicate with each other within the system.

Client Management
Each client’s admission, discharge, and transfer are managed under this heading, including input of client demographic and financial data, availability, phase, photo, alerts, sticky notes, etc.

Dispensing and Daily Client Activities
All medical activities take place under this menu selection, including the writing of the physicians' orders for client dispensing, made simpler and more flexible with the addition of pre-programmed medication templates. Standard Detox and Build-up orders assure consistency in treatment, and the Super Grid minimizes time spent customizing medication orders for each client.

Medication Order Super Grid
Avatar AM can have as many as four types of inventory open at once and, while specifically designed for dispensing of methadone, can manage inventory and record dispensing of any Schedule II narcotic. Medication orders for any medication can be configured consecutively, to assure future changes in orders do not affect delivery of medication to the client.

Avatar AM interfaces with the Ivek® Liquid Pump Subsystem for 0.1 percent accuracy in computer controlled dosage delivery from the Fast Dose Screen. The Bar Code Blaster label printer provides self-adhesive labels for takeouts, toxicology specimens and ID cards.

Various reports are available to the user as tools for inventory management and auditing, including Daily Dispensing Activity, Total Dispensed, Current Total Inventory Summary, Inventory Flow by Bottle, Bottle History, etc.

Alerts, with user defined criticality status, will notify the staff of Care Plan Activities that have been scheduled for the day for each client, allowing them to route the client to the proper clinical location or to record the activity as taken, depending on clinical workflow and policy.

Addiction Management Reports
Reports abound for inventory management and nightly reconciliation. Client medication, treatment, and account management, as well as staff activity, can all be reported.

Many reports are also available that can provide critical information about clinic census, practitioner caseloads and aggregate outcomes of compliance activities.

Billing
Avatar AM Self-Pay Billing is flexible, allowing charging for all services when recorded and/or by batch (daily, weekly or monthly) for methadone, individually by client.

Payments can be recorded, with receipts, self-pay bill (statement), client ledger and A/R reports all included.
When Avatar AM is implemented as a module, Avatar PM provides full-service billing to third party, insurance, etc. and can submit electronic claims for faster remittances.
