Vital Records System Training
Provide Always-Current, Always-Available Training For All Your Users
Overview
Vital records registrars and directors face unique challenges as they work with a diverse, independent user community spread over large geographic areas. Many of these users, such as funeral directors and medical professionals, have schedules that can change at a moment’s notice.
What’s the typical approach to training end users on a vital records system? It often consists of sending trainers to each facility in a wide geographic area over an extended period of time to provide a standard training class to all users, regardless of their roles and special needs. This labor-intensive, relatively inflexible method fails to address some very practical issues. How do you train the people who were out sick or unavailable the day the class was offered? How do you train the new hire that joined the organization the day after the training was offered? How do people learn about enhancements and changes to the system introduced a month after the training was offered-- when the instructor won’t be back in the area for eight more months?
What if you could provide high quality, timely training to all users at times convenient for them, 24 hours a day, 7 days a week, 365 days a year--with no travel costs? What if you could help all your key users fully and efficiently use your vital records system and enable all vital records stakeholders to better serve their customers and the public?
Netsmart’s approach to Vital Records System training allows you to do all this and more!
We start by recognizing that each vital records organization has a unique set of available resources and training requirements. We also recognize that individual learning styles vary, so we offer a variety of training options to meet those needs. The goal: Help vital records offices provide cost-efficient, effective, repeatable training and education to their user community
Face-to-Face
Classroom Training
Instructor-led classes and on-site training for key users of your vital records system can be provided in state or local facilities. The informal tone of this hands-on, role-based training encourages individual participation in an atmosphere where participants learn from the instructor and each other. These classes can be led by knowledgeable Netsmart instructors who have in-depth knowledge of the Netsmart Vital Records software or by instructors from your organization that have completed a Netsmart “train the trainer” program. Classroom training can be of particular value in the pilot phase of a system or training plan deployment.
Online Training
Authorized vital records system users have access to customized online coursework at their convenience, 24 hours per day via the Internet. Coursework is searchable and may be assigned by role or position, such as hospital data entry staff, funeral professionals or local registrars. Classes are specific to the day-to-day needs of each group; e.g. “How to Enter a Death Record.” If a learner needs to exit in the middle of a course, a “smart” feature “remembers” where the break occurred. When the user returns, the system will ask if he or she wishes to return to that point. Classes begin with clearly stated objectives and can end with a final exam that assesses mastery of the material. Class work and supporting materials are maintained online for review.
Instructor-Led
Virtual Classroom
This distance learning option brings learners into an online virtual classroom via their computer, where they experience live online participation with the instructor. This is an especially good option for geographically-dispersed audiences, and saves travel costs, either for organizations that send trainers out to user sites or user sites that send staff to a vital records office training site.
Learning Management System
Netsmart can provide your vital records organization with its own customized Learning Center. A Learning Center enables you to effectively manage training records for large numbers of internal and external users. It includes features like online registration, class participant notifications/reminders, attendance records and certification tracking.
